Billing & Seat Management ​

Who is this for? Organization Owners and Admins.
This guide explains how Tailed billing works, what a "seat" is, and how changes to your team affect your bill.


How billing works ​

Tailed charges a monthly (or annual) subscription based on the number of active seats in your organization.

A seat is one active team member — someone who can log in and use Tailed. You are only billed for members who are currently active.

You are not billed for suspended or pending members.

What counts as an active seat? ​

A seat counts as active when a team member has the status Active in your organization. This includes:

  • Owners
  • Admins
  • Recruiters
  • Viewers

A seat is not billed when a member is:

  • Suspended (access removed, but data retained)
  • Pending (invitation sent but not yet accepted)

Adding team members ​

Each new active member you add uses one seat. If adding them would exceed your current plan's seat limit, Tailed will prompt you to upgrade before completing the invite.

  1. Go to Settings → Team Members → Invite member.
  2. Enter their email and assign a role.
  3. Click Send invite.

The seat count increases as soon as they accept the invitation.


Removing team members ​

When you suspend or remove a team member, their seat is freed up.

  • Billing adjusts at the end of your current billing cycle — you won't be charged for them in the next cycle.
  • If you're on a monthly plan and remove someone mid-month, you will still be charged for that month. Credits are not issued for partial months.

Using SSO? If you deactivate someone in Microsoft Entra or Google Workspace, Tailed automatically suspends their seat and removes it from your next bill. See Authentication & SSO.


Managing your subscription ​

Upgrading your plan ​

  1. Go to Settings → Billing.
  2. Click Upgrade plan.
  3. Select your new plan and confirm.
  4. Charges are prorated — you only pay the difference for the remainder of the current billing cycle.

Downgrading your plan ​

  1. Go to Settings → Billing → Change plan.
  2. Select a lower plan.
  3. Tailed will warn you if your current usage (jobs, seats, connections) exceeds the new plan's limits.
  4. Downgrade takes effect at the start of your next billing cycle.

Switching from monthly to annual ​

Annual plans are billed once per year and typically include a discount. To switch:

  1. Go to Settings → Billing → Change billing period.
  2. Select Annual.
  3. You'll be charged the annual amount immediately, minus a credit for the unused portion of your current monthly period.

Viewing invoices ​

All your invoices are available under Settings → Billing → Invoice history. Each invoice is downloadable as a PDF.


Trial period ​

New organizations start on a 14-day free trial of the Professional plan. No credit card is required to start.

At the end of the trial:

  • If you have added a payment method, your plan automatically converts to the plan you selected.
  • If no payment method is on file, your account is downgraded to the free Trial plan with reduced limits.

Frequently asked questions ​

Can I set a maximum seat limit?
Yes. To prevent accidental overage, go to Settings → Billing → Seat limit and enter a cap. Tailed will block new invitations once the limit is reached.

What happens if we go over our plan's job or candidate limit?
You'll see a warning when you're approaching the limit. Creating new jobs or candidates will be blocked until you upgrade. Existing data is never removed.

Who can manage billing?
Only the Owner can view and change the subscription or payment method. Admins can view current plan details but cannot make changes.

Is my payment information secure?
Yes. Tailed does not store your card details. All payments are processed by Stripe, a PCI DSS Level 1 certified payment provider.
